Privacy Policy – OLYBEE & OLYBEE Marketplace
Privacy Policy

How the OLYBEE hive handles your data.

This Privacy Policy explains what information we collect, how we use it, and the choices you have when you use OLYBEE.com and OLYBEE Marketplace (mrkt.olybee.com).

This page is written in clear language, but it’s still an important legal document. Depending on where you live, additional rights may apply under local laws (for example, GDPR or other privacy regulations).

1. Who we are

OLYBEE (“we”, “us”, “our”) is a digital brand focused on technology, productivity and smarter work systems. We operate:

  • OLYBEE.com – content, guides, tools, newsletters and resources; and
  • OLYBEE Marketplace – the jobs and gigs platform at mrkt.olybee.com.

Our HQ is located at: 8665 Rue Pierre-Dupaigne, Montréal, QC H2M 2S3, Canada.

2. What this policy covers

This Privacy Policy applies when you visit our websites, subscribe to our emails, use OLYBEE tools, browse or apply for roles on OLYBEE Marketplace, or interact with us in other ways (for example, via contact forms).

It covers both job seekers and employers/clients, as well as general website visitors.

3. Information we collect

The personal information we collect depends on how you interact with us. We may collect the following categories:

  • Account and profile information. If you create an account or profile, we may collect your name, contact details, job title, skills, work history, company information and similar details you choose to share.
  • Job applications and marketplace data. When you apply to or post a role, we may collect the information included in that application or listing, such as CV details, cover letters, role descriptions, requirements, rates, locations and preferences.
  • Communication data. When you contact us (for example via email or forms) we collect the information you provide, such as your name, email address and the content of your message.
  • Newsletter & marketing subscriptions. If you subscribe to OLYBEE emails, we may collect your name, email address, preferences and engagement data (for example, whether you opened a particular email).
  • Usage and device information. We may collect log data such as IP address, browser type, device information, operating system, pages visited, referring pages and timestamps. This may be collected via cookies and analytics tools.
  • Payment and billing information. If you purchase job packages or other paid services, we may collect billing information such as your name, organisation, billing address and partial payment details. Full card information is generally handled by our third-party payment processors, not stored directly on OLYBEE servers.

You are not required to provide every piece of information we request, but certain features (like applying for jobs or posting roles) may not work without the relevant data.

4. How we use your information

We use the information described above to:

  • Provide and operate OLYBEE.com and OLYBEE Marketplace, including hosting content, managing accounts and powering search, listings and applications.
  • Connect job seekers and employers by enabling applications, communication and related hiring workflows.
  • Process payments and deliver paid services such as job packages and promotions.
  • Communicate with you, including responding to enquiries, sending important service notices or providing updates about your account.
  • Send optional newsletters and resources, where you have opted in or where we are otherwise permitted to do so. You can unsubscribe at any time.
  • Improve our services by analysing usage trends, debugging issues, testing new features and understanding what content and features are most helpful.
  • Protect the hive by detecting fraud, abuse, spam and other harmful activity, and by enforcing our Terms & Conditions.
  • Comply with legal obligations, such as record-keeping, responding to lawful requests and fulfilling regulatory requirements.

6. Cookies, analytics & tracking

We use cookies and similar technologies to operate and improve our sites. Cookies are small text files stored on your device.

We may use:

  • Strictly necessary cookies to keep the site secure and functioning (for example, login sessions).
  • Preference cookies to remember your settings, such as language or previously chosen options.
  • Analytics cookies to understand how visitors use the sites, which pages are most popular, and where we can improve the experience.
  • Marketing or performance cookies related to email campaigns or limited promotional activity, where permitted.

You can control cookies via your browser settings and, in some regions, via cookie banners or preference tools. Disabling certain cookies may affect site functionality.

7. How we share information

We do not sell your personal information. We may share information in the following ways:

  • With employers and job seekers. When you apply for or post roles on OLYBEE Marketplace, relevant information is shared between the parties involved to enable applications, screening and communication.
  • With service providers. We work with trusted third parties that help us operate and improve the services, such as hosting providers, payment processors, email platforms, security tools and analytics services.
  • For legal reasons. We may disclose information if we believe it is reasonably necessary to comply with laws, regulations, legal processes or governmental requests, or to protect the rights, property or safety of OLYBEE, our users or others.
  • Business transfers. If we are involved in a merger, acquisition, restructuring or sale of assets, information may be transferred as part of that process, subject to appropriate safeguards.

When we share data with service providers, they are required to use it only as needed to provide services to us and to handle it in line with appropriate safeguards.

8. International transfers

OLYBEE is based in Canada but operates online and may work with service providers or users located in other countries. This means your information may be stored or processed in jurisdictions that have different data protection laws than your own.

Where required by law, we take steps to ensure that cross-border data transfers include appropriate safeguards, such as contractual protections or relying on valid transfer mechanisms.

9. Data retention

We keep personal information only for as long as it is reasonably necessary for the purposes described in this policy, including:

  • to provide the services and maintain your account;
  • to comply with legal, accounting or reporting obligations; and
  • to resolve disputes and enforce our agreements.

Retention periods may vary depending on the type of data and context. When information is no longer needed, we will delete it or anonymise it where appropriate.

10. Your rights & choices

Depending on where you live and how you use the services, you may have certain rights over your personal information. Subject to applicable law, these may include:

  • Access. The right to request a copy of the personal information we hold about you.
  • Correction. The right to ask us to correct inaccurate or incomplete information.
  • Deletion. The right to request that we delete certain information, subject to legal or legitimate business reasons for keeping it.
  • Restriction. The right to ask us to limit how we use your data in certain circumstances.
  • Objection. The right to object to certain forms of processing, including some marketing-related processing.
  • Portability. The right to request that we provide your data in a structured, commonly used format, where technically feasible.
  • Withdraw consent. Where processing is based on consent (for example, marketing emails), you can withdraw that consent at any time.

You can exercise many of these rights by adjusting your account settings (where available), using unsubscribe links in emails, or contacting us at hive@olybee.com. We may need to verify your identity before responding to certain requests.

11. Children’s privacy

OLYBEE and OLYBEE Marketplace are not intended for children under the age of 16. We do not knowingly collect personal information from children in this age group.

If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it where required.

12. Security

We use a combination of technical and organisational measures designed to protect personal information from unauthorised access, loss, misuse or disclosure. These may include encryption, access controls, monitoring and regular reviews.

However, no system is perfectly secure. We cannot guarantee absolute security of information transmitted via the internet, so you should take care to protect your own devices and accounts.

13. Changes to this policy

We may update this Privacy Policy occasionally, for example to reflect new features, services or legal requirements. When we make material changes, we will update the “last updated” date at the top of this page and may provide additional notice (such as a banner or email).

Your continued use of OLYBEE.com or OLYBEE Marketplace after changes have been posted means you accept the updated policy.
